Backdrop
At Ark Life Veterinary, Dr. Maxim Lotovsky runs a busy clinic where double-pet appointments, back-to-back consults, and long callback lists can easily stretch the day. Documentation once meant late nights finishing SOAP notes and hoping no small detail was lost in the rush.
With Talkatoo, that story changed. “I don’t have to sit down at the end of the day and write for three hours,” Max says. “I finish the record before the appointment is even checked out.”
The challenge
For Max, documentation created friction on multiple fronts. Clinical notes required hours of typing after-hours. Phone calls left no record, forcing him to rely on memory. Even with help, assistants were tied up as in-room scribes rather than supporting care elsewhere. “If I didn’t capture it right away, I risked forgetting whether it was the left foot or the right foot,” he recalls.
Max also wanted a solution that could keep pace with the modern veterinary workflow: accurate, fast, and intelligent enough to cut out irrelevant chatter while keeping medical details intact.
The turning point
Max started with Talkatoo’s Auto-SOAP feature. Instead of typing or dictating fragments, he records the entire appointment with the Talkatoo app. When the visit ends, Talkatoo automatically generates a structured SOAP note that is accurate, complete, and ready to paste into his PIMS. For double-pet appointments, the Multi-Pet Note option splits a single conversation into two clean SOAPs, instantly saving him from re-dictating findings.
Phone calls were next. By setting up Talkatoo’s Call Summary feature, Max placed callbacks directly through the app. Each call now produces both a transcript and a concise summary focused only on the patient’s medical details without any of the small talk cluttering the record. “Phone calls document themselves now,” he explains. “I hang up, and the summary is waiting in my inbox.”
Over time, Max began using Talkatoo’s AI Assistant to handle everyday tasks: drafting discharge instructions, preparing client communications, and even translating information into Russian for clients who need it. “Sometimes these owners don’t understand what I’m saying. Now I can instantly translate instructions,” he says. And for everything outside the exam room, Max relies on Desktop Dictation, seamlessly dictating into any text field on his computer, whether he is adding notes into his PIMS, composing emails, or filling out forms.
What changed
With Auto-SOAP, Max leaves the exam room with a finished record instead of a blank page. His assistants are no longer tied up scribing and can focus on direct patient care. Reviewing Talkatoo’s summaries while billing, Max consistently captures additional services he might otherwise have missed, which boosts both accuracy and revenue.
The Call Summary feature transformed callbacks from an administrative burden into a clinical strength. Each conversation is summarized and searchable, giving Max peace of mind in client disputes or follow-ups.
And thanks to the AI Assistant, tasks that once stole valuable minutes such as drafting discharge notes or writing routine communications are completed in seconds. Even Desktop Dictation plays its role, letting Max quickly fill in any system that requires typed text.
“It has honestly been a game changer,” he says. “On phone calls, SOAPs, and even billing.”
Looking Ahead
Talkatoo continues to release improvements, from enhanced speaker recognition to deeper integrations with practice management systems. For Max, the value is already clear: his clinic runs smoother, his team has time back, and records are more accurate than ever.
“I would highly recommend Talkatoo,” Max says. “It’s changed my workflow in ways I didn’t think possible.”
