Follow these useful tips to get the most out of your Talkatoo experience.

Starting and stopping dictation
Wait until all of your words and punctuation appear, and any automatic corrections have been made before pressing the button again to end dictation.

Context is important
Talkatoo does its best work when you are speaking full thoughts, sentences and paragraphs. You’ll see the most time savings when you use Talkatoo for longer dictations, and this is when it will be at its most accurate.

Spoken vs. Automatic Punctuation
The default setting is for you to speak your punctuation (e.g.

Hi comma (,) how are you today question mark (?) I am well period (.)

There is a large list of available punctuation for you to say, and you can learn more here.

Alternatively, you can disable this setting and Talkatoo will do its best to place punctuation for you based on what you say.

Voice Commands
Say “new line” or “new paragraph” to go down one or two lines in your text (like pressing Enter/Return). These commands work whether you have Spoken Punctuation turned on or not.

Don’t look at the screen
While dictating, don’t follow the words on the screen, as seeing Talkatoo make an initial mistake or correction may cause you to lose your train of thought. Instead, look at your notes, a nearby animal, or close your eyes.

My Words is where you can add any custom words Talkatoo’s Direct Dictation feature may not have recognized properly.

Add Words that are Incorrect

Sometimes a word will be misheard as another, more common word or spelling, or a combination of similar sounding shorter words (e.g., Sean, Shaun, or Shawn). This can often be solved by adding it to My Words.

Report Words that are Inconsistent

Words that are populating with inconsistent results should always be reported. Our Development team will look into the issue to fix it. You can report words by clicking here, or the “I have a word that only works sometimes…” button on the My Words page.

Talkatext allows you to insert pre-written text with a single command. If there are phrases, templates or any text that you often use, create it into a Talkatext! Once you’ve created your Talkatext, you can speak a short voice command to enter that same text as many times as you want.

How does it work?

1. Add a new Talkatext Command and name it
   • Naming your command is important. This is what you’ll say when you want to trigger your command.
   • Keep it simple and easy to remember
     
2. Give your Talkatext something to write, to paste text in this field, you can use the hotkeys ctrl + v on a PC, and cmd + v on a Mac.
   
3. Using Talkatext
   • Click Start Dictation, and click into any textfield
   • Say “insert” before you say the command name. e.g. “Insert routine spay”
   • Say the insert phrase as its own dictation, and not in the middle of a sentence.
   • Talkatoo will write out what you are saying, then quickly erase it and your paragraph will appear.

Dictation meets AI: The Assistant is an AI powered tool who lives on your desktop and helps you streamline administrative tasks and make your day a little bit simpler.

On Desktop app: The Assistant can be found by clicking the little plus symbol to the right of your Start Dictation button.

On Mobile app: The Assistant can be found by tapping “Assistant” on the right.

How does it work?

Ask and you shall receive! You can start by clicking one of the suggested prompts, or give it one of your own by typing or dictating your request.

It can also clean up and edit any text. If you don’t provide a prompt in your message, it will simply edit the text you entered.

These are just a couple of examples of what you can do. The list is endless! When in doubt, simply ask The Assistant.

If there is a response that The Assistant gives you that isn’t quite right, tell it! You can continuously give the tool prompts and reiterate your request until it has formulated exactly what you’re looking for.

Navigation Tips:

Auto-SOAP Records is an AI-powered tool that gives busy veterinarians the ability to record and submit audio files to create AI-generated SOAP notes. The completed notes can then be copied and pasted right into your PMS!

Two ways to Record:

Desktop Recording: Click the little plus symbol on the right of the start dictation button, and then click Notes on the upper right. To begin recording, click “Record a new SOAP”.

Mobile Recording: Recording SOAP’s can be done via the Mobile app as well! Scan the QR code below to download.

When youʼre ready to start recording, tap the big microphone button.

Recording the Perfect SOAP Note

1. Start each note with identifiable information about the patient (first name, last name, patient ID, date of exam).
2. For optimal audio quality, place your device in a central area of the room so it can hear all speakers.
3. When you are finished with your note, tap the big stop button (mobile app) or the “stop dictating” button (desktop app). Youʼve now created a draft!
4. While the recording is still a draft, you can add to it by clicking Add to This Note. This is helpful if you need to stop recording due to an interruption, an unrelated tangent, or if you need to include more details later on in the day.
5. For body systems, if you don’t mention a particular system, Talkatoo will add a default “normal” statement, which you can customize through our Web Portal here. Vitals will be left blank if not dictated

Submitting your Draft Recordings

• When you are completely finished with your recording, hit the submit button. Your first draft has now been submitted for processing!
• Viewing the status of a note can be done through the Note Inbox
• When the note is done processing and ready to review, the status will change to Awaiting Review

Retrieving your Notes

SOAP Notes that are completed and awaiting review can be retrieved through your Note Inbox. You’ll see copy buttons you can click to quickly copy any section and paste it into your Practice Management Software. Remember to always review and edit the Auto-SOAP.

You can access your Note Inbox through signing into the web app, desktop app and mobile app:

The Talkatoo Web App is where you can go to retrieve and edit completed Auto-SOAP Records, as well as perform a variety of account management tasks like upgrading your plan, updating billing information, accessing invoices, and managing users.

To access our Web App, click here and sign in using your Talkatoo credentials.

1. Account Management

If your account has been granted account management permission, this icon should appear on the bottom left of the web app. This is where you’ll find additional settings.

Use the options on the left to navigate.

Adding/Removing users

1. Click “Manage Users”
2. Click “Invite New user” on the upper right
3. Add the users email address and grant them permission!

Accessing Billing History

1. Click “Billing History”
2. Choose the invoice you are looking for and click “PDF” to download the invoice.

Managing your Subscription

1. Click “Manage Subscription”
2. here, you’ll be able to upgrade your plan, update shipping info and payment method.
